Full-Time | Sylvan Adams YM-YWHA Aquatics Coordinator

The Aquatics Coordinator provides essential administrative support to aquatics programs. Highly organized and detail-oriented, they manage multiple priorities in a client-centered environment and communicate clearly, warmly, and efficiently with members, participants, and colleagues in their preferred language.

• Up-to-date lifeguard certifications or a willingness to certify or recertify within the first 6 months of work.
• Strong organizational skills.

• Bilingual (English and French).
40 hours per week, including 5 hours unpaid lunch breaks.
• Saturday & Sunday 8am-4pm; Monday, Tuesday & Wednesday 12-8pm.
• Participate in the on-call rotation during off-hours to solve issues at the pool.
Compétences demandées/Required skills
1. Aquatics Program Coordination
• With colleagues, determine swim programming seasonal schedules, including group swim lessons, private swim lessons, lifesaving classes, and swim teams, and create the activities in ActiveNet (the registration system).
• Gather availabilities from aquatics staff in advance of each season.
• Schedule qualified staff for all programs and activities.
• Fill gaps in the staff schedule as needed.
• Manage the first two weeks of each program season to ensure families are properly welcomed, instructors are supported, and swimmers connect properly with their instructors.
• Liaise with shift supervisors to ensure smooth swim school operations.
• Ensure shift supervisors are taking swim school attendance
Monitor Private Lesson Absence Forms and communicate with instructors and families.
• Communicate with CX when program refunds, credits or transfers are necessary.
• Track pool closures as they pertain to lesson cancellations, and communicate with families about make up classes.
2. Payroll
• Ensure aquatics staff are paid accurately and on time given.
• Track schedules and remind staff to submit biweekly timesheets.
• Verify timesheets against the master schedule; resolve discrepancies and confirm corrections.
• Enter approved timesheets into payroll software
3. Communication with Aquatics Program Participants
• Assist clients with aquatics program selection;
• Send welcome and session communications;
• Provide warm, efficient and prompt customer service in person, by phone, and by email.
• Liaise with the Customer Experience team to ensure they have accurate aquatics-related information.
4. Manage Lifesaving Society Classes & Paperwork
• Schedule appropriate facilitators and evaluators for lifesaving classes.
• Make sure facilitator invoices are received and paid.
• Verify participant eligibilities in advance of lifesaving classes.
• Ensure we have enough books in stock for lifesaving classes. Order books as needed.
• After exam, verify that instructor has entered information into the Lifesaving Society website.
• Send welcome emails with appropriate Lifesaving Society documents before each class.
5. Go on chair or in the water as needed
• When there is a need, go on chair or into the water.

SALARY
$26-27.50/hour, based on experience and qualifications.
